What Is ETA in Logistics? How Arrival Times Are Set and Why They Move
What ETA means in logistics and shipping, how an ocean ETA is produced, why it keeps moving, and where estimated arrival times carry contractual weight.

What is ETA in logistics? It is the estimated time of arrival: the forecast moment a vessel, container, trailer or consignment reaches a stated point. The word estimated is doing real work. An ETA is a prediction that is revised continuously as the voyage runs, and it becomes an ATA, the actual time of arrival, only once the vessel or shipment is genuinely there.
The single most common mistake in using an ETA is treating it as a fixed date without asking arrival where. A vessel ETA can refer to the pilot station, the anchorage, the berth or the terminal gate, and those can differ by days in a congested port. An ETA quoted without its reference point is not information, it is noise.
The arrival and departure codes you will see alongside ETA
- ETD , estimated time of departure, the planned sailing from the load port.
- ETB , estimated time of berthing, when the vessel is expected to be alongside and ready to work cargo.
- ETS , estimated time of sailing, used interchangeably with ETD by many carriers.
- ATA and ATD , actual time of arrival and actual time of departure, recorded after the event.
- ETC , estimated time of completion, when cargo operations are expected to finish.
The distinction that matters commercially is the E against the A. Estimates drive planning. Actuals drive money.
How an ocean ETA is actually produced
The first ETA a shipper sees comes from the carrier's published schedule, built months ahead from a fixed rotation and standard transit times. Once the vessel sails, that schedule figure is replaced by a working ETA calculated on board and reported ashore.
The vessel's own calculation is simple arithmetic over a hard-won input: distance to run divided by expected speed of advance, adjusted for the weather routing forecast, expected currents and any planned speed change. Masters send this in noon reports and dedicated ETA messages, and charterparties commonly require a series of notices, for example at 7, 5, 3, 2 and 1 days out.
Ashore, the number is refined again. Port agents add expected pilot and tug availability, terminals add berth queue position, and forwarders push a door ETA that layers the inland leg on top. Increasingly, carriers and visibility platforms generate a dynamic ETA from live AIS positions and historical port performance rather than from the vessel's own report.
Why the ETA keeps moving
An ETA that never changes is usually one nobody is maintaining. Legitimate causes of movement include:
- Weather and routing. Head seas, storm avoidance and current bands change speed of advance daily.
- Speed decisions. Slow steaming to save bunkers, or to hit a berth window rather than wait at anchor, deliberately pushes the ETA back.
- Port congestion. Berth availability, labor, equipment and yard density decide when a vessel goes alongside, not when she arrives off the port.
- Tidal and daylight windows. Draft-restricted or pilotage-restricted ports may only accept an arrival within a narrow window.
- Rotation changes. Port omissions, extra calls and blank sailings reshuffle everything downstream.
- Landside events. Customs holds, inspection, empty availability and haulier capacity move the door ETA even when the vessel arrived on time.
Where ETA carries weight and where it does not
Under most contracts of carriage, an ETA is not a warranty of arrival. Liner bills of lading routinely state that schedules are indicative, and a missed ETA on its own rarely creates a claim.
The legally significant moments are actual ones. On a voyage charter, laytime does not start because the ETA passed. It starts when the vessel has arrived as defined in the charterparty, tendered a valid notice of readiness, and any notice period has run. Demurrage and detention clocks, free-time expiry and storage charges all key off actual events. That is why disputes turn on ATA and NOR timestamps rather than on the ETA that everyone was working to.
ETA does carry regulatory weight in one respect: pre-arrival reporting. Coastal states require advance notice of arrival with an estimated time, and in the United States that notice is generally due 96 hours before arrival for most vessels, with tighter rules for hazardous cargoes. An inaccurate ETA in that context is a compliance problem, not a service problem.
Getting more value out of an ETA
Three habits separate teams that use ETAs well from teams that argue about them. State the reference point and the time zone every time, ideally in UTC with the local time in brackets. Track the difference between the first ETA and the ATA as a schedule reliability metric per trade lane, so planning buffers are set from evidence rather than optimism.
And treat a stale ETA as an exception to chase, because in practice a figure that has not been revised for a week usually means an event was missed rather than a voyage going perfectly.

An ETA stops being a planning number the moment it goes into a pre-arrival report. In the United States the notice of arrival is filed with the USCG through the National Vessel Movement Center. AMSA takes pre-arrival reports for Australian ports, and Transport Canada requires a pre-arrival information report for vessels bound for Canada. Each keys its clock to the estimate the ship gives.
That changes what an inaccurate ETA costs. An arrival well outside the notified window is an enforcement matter for the coastal authority, not a service failure. The duty to amend the notice sits with the vessel. In the Paris MoU region arrival data also feeds inspection targeting, so the ETA you send decides when an inspector expects you.
